October Vestry Notes

The Vestry met on Wednesday, Oct. 21, 2021. Here is a summary of the meeting:
Fr. John reported that attendance at our Sunday services is growing, and that is encouraging. We are behind pre-pandemic numbers but we had new individuals and families join us in recent weeks. Fr. John officiated at three funerals this month and we look forward to two baptisms in November.
Our financials are solid and we are grateful to parishioners for their generosity. We accepted the Treasurer’s report and thanked Andrea Pugh for her work.
A sub-committee submitted a revised Parish Financial Policies and Procedures document outlining our process. We thanked the sub-committee and Parish Administrator, Valerie Manges, for their work. The Vestry will review, discuss changes if any, and vote on a completed document at the November meeting.
Our 2022 Stewardship time is rapidly approaching with Commitment Sunday scheduled for October 31.
We heard a report on Garden Market ’22 by Dawn Rodenbaugh who will co-chair with Karen Schaeffer. Dates are April 29 & 30, 2022. Volunteers will be needed to make this a successful event.
We agreed on the return of the VPOW (Vestry Person of the Week) who will stand with Fr. John after each service on Sunday. The VPOW will be available to speak with parishioners on church and property issues. In addition, the VPOW will welcome newcomers, visitors and all who attend.
Our welcome bags for visitors have a new look. They contain newly created brochures about church activities, membership, and outreach. A new pastoral care brochure is in process, too.
The Vestry is considering contracts with a pest control company and an annual service contract with one of our HVAC providers. We currently have 4 HVAC companies that service our property.
Our sign project that is proceeding according to schedule. We hope for completion this fall.
We are gathering estimates for 2022 projects that will include painting of the Bell Tower, cupola and cross. The paint is peeling and we need to continue to maintain a watertight and attractive structure. In addition, we are looking at gutter issues on the building to make sure the gutters can handle the amount of rain coming off the steep pitched roof. Also, there is the issue of continued moisture in the basement of the church that may require a sump pump for large downpours.
We were ready to order the new LED lights for the Parish Hall but discovered the ones researched are out of stock. We are researching an alternative.
The church wall will need ongoing maintenance which will be looked at in the spring of 2022.

The Sunday Paper for children and youth

Share “The Sunday Paper”
with your children and grandchildren!
We now offer a weekly copy of “The Sunday Paper” (ages 9 and up) and “The Sunday Paper Junior” (ages 3 to 10). Each lesson follows our Sunday lectionary readings. We encourage you to print and share with your children and grandchildren. We will have copies available on Sunday mornings for children in attendance.
The SUNDAY PAPER (for ages 9 and up) presents one lesson (usually the Gospel) as a two-line cartoon; the other readings, and the Psalm, are presented as single vignettes. The lessons are tied together with a short commentary.
The SUNDAY PAPER JUNIOR (for ages 3 thru 10) features one lesson only, usually the Gospel. It offers big, bold artwork, a simple story line, an activity page designed to stir children’s imaginations and spirituality.

Youth Group on Sunday

The Youth Group meets on the second and fourth Sunday of each month. The next meeting is this Sunday, October 24.
The Group enjoys pizza, movie and a discussion in the Parish Hall from 11:30AM to 1:30PM.

Wednesday Women

In an effort to get to know one another a little better at our 10:00 o’clock service, a group of female 10AM parishioners plan to meet once a month for lunch. We want good conversation in a small group setting. We hope to have a combination of new and established parishioners join us.
We are calling it Wednesday Women, and plan to meet on the third Wednesday of the month; 11:30-1PM.  Our inaugural Wednesday Women luncheon is on Wednesday, October 20, in our Parish Hall!
We plan to have a simple lunch (salad and wraps) catered by Pat’s Select. We ask for a $15.00 contribution per person.
We hope to start a duplicate lunch group, on a different Wednesday of the month, for our 8:00 o’clock service female parishioners. If you want to help plan, and/or are interested in participating, please contact Karen Schaeffer for details.
In the meantime, if you attend the 8:00 o’clock services, or alternate services, you are always welcome to join this first group.

Storm Water Collection System Summary

Our church, property buildings, and campus grounds, underwent some transformative improvements over the past five years, all in effort to maintain and revitalize our historic property for current and future generations.

Some of the improvements were cosmetic—painting, gardening, and new signage—to give us “curb appeal” or in our case, “church appeal”. Other improvements were functional—new sidewalks, air-conditioning upgrades and/or installations, audio/visual systems, kitchen/bathroom updates, roof repairs—to protect us and/or enhance our worship and ministry experiences. These efforts demonstrate our love for God and each other, regard for this special sacred worship space, and vitality as a parish.

One large and necessary improvement—the storm drainage system—not visible to the eye but critical to the stability of our 278 year old church structure, was completed in early September. This project, first proposed to the Vestry in 2016, resulted from a visible crack at the corner of our east-facing wall; and peeling paint on the church ceiling, in the bell-tower, and the west-facing wall.

Victorian Heritage (VH), the contractors and engineers who proved their structural knowledge and abilities with our east wall renovation in 2000, monitored the wall crack with a Telltale precision gauge in 2016. They also analyzed paint peels from the ceiling and Bell Tower for excessive moisture. The wall crack remained stable during the weekly monitoring for one year; however, VH’s structural engineer observed excessive rainwater pooling near the brick foundation and the building’s ancient wood beams. VH recommended a storm drainage system to divert rainwater away from the building. They also recommended a combination of roof modifications to help wick rain from the building.

At the time, the Vestry tabled the costly storm drainage recommendation and worked to make small and affordable fixes to divert water. A VH roofing contractor replaced or repaired roof shingles due to age and squirrel damage, created a roof lip, and cleaned gutters and leaders on the church and Vestry House. Another local contractor (Pat Lynch) won the bid on a smaller French drain system (near Hoopes Court and the new flagpole) and completed that project in 2018.

Despite these fixes, heavy rainfalls continued to debilitate the church structure. Our concern to maintain the structural integrity of the building grew. Due to the size and scope of the project, the Vestry reconnected with VH. They reevaluated the situation and recommended a storm water collection system including a 275 gallon concrete settling tank, a large 15’ x 25’ stone seepage bed, leaders and piping.

Our churchyard steward team of Mac Taylor, Joe Williams and Fr. John, used churchyard records to help determine the location for the new storm water collection system. Our churchyard contains many non-burial walkways.  Trenched and excavated areas for this project were located within these walkways and did not disturb any existing graves or potential gravesites. Beyond that work, we received approval for the project from the Town of North East.

None of the aforementioned projects was funded by operating/pledge income thanks to the wise financial management of church investments, and a combination of generous gifts, grants, and volunteer work.  The storm water collection system’s cost was $55,993.00. Monies to cover this expense came from a few different funds, including our Property Preservation Fund, All Saints Fund, and Coudon Fund, along with a generous anonymous memorial gift.
